Q. What services does HOA Assist offer?

HOA Assist provides each client with monthly financials by accountants who specialize in HOA Accounting.

Each client receives a customized portal powered by AppFolio to view their Associations governing documents, submit architectural requests, view their account balance, send out mass email communication, and much more.

In addition, an an HOA Assist AppFolio portal app is available to download that connects to the Association for easy access.

Lastly, HOA Assist makes education a priority so informative videos are uploaded on a regular basis for Boards and Homeowners to learn about various Association related topics.

Q. What documents does HOA Assist need to get set up as a client?

The following documents are required to set up a client : Articles of Incorporation, Tax id #, homeowner list, past financials, and current budget. If a client provides these documents within 7 days following receipt of the signed HOA Assist contract, their first month’s service fee is FREE.

Q. When can HOA Assist clients expect to receive their monthly financials?

Monthly financials are uploaded to your HOA Assist portal powered by AppFolio each month at a date chosen by the HOA Assist Accounting team unless directed by the client with a specific date each month.

Q. How are invoices for the Association paid?

At HOA Assist, we are committed to transparency, as no invoices are paid prior to Board approval other than utilities and insurance. Ensuring there is no mystery as to how your Associations money is being spent. Board members are equipped to approve invoices using their HOA Assist portal powered by AppFolio.

Q. What banking options are available to HOA Assist clients?

Operating and Reserve accounts are initially set up through CIT Bank for all HOA Assist clients, however, an Association can opt to have their reserve/investment funds held at any bank of their choosing.

Q. How do HOA Assist clients pay their Association dues?

All clients have the option to pay their Association dues in the following ways using the HOA Assist portal powered by AppFolio, making it easy to submit payments.

  1. Credit Card (can be set up as a recurring payment)
  2. E-Check (can be set up as a recurring payment)
  3. Bill pay through their own personal bank.
  4. Coupons with personal check (Coupon is attached to the bottom of each monthly statement.).
Q. Who do I call if I have any questions related to my account and need to speak with a HOA Assist Team Member?

Q. How do HOA Assist clients receive resale disclosure documents?

Resale disclosure documents, dues current letters and more are obtained through CondoCerts. Click here to be directed to the “get documents” page.

Q. Does HOA Assist facilitate vendor relationships?

HOA Assist does not facilitate vendor relationships outside of issuing payments upon approval by the Board.

Q. Does HOA Assist offer collection services?

The Board of Directors is the main point of contact with the attorney of their choosing, however, HOA Assist team members can provide ledgers for any delinquent homeowners in the community to the Board upon request. In addition, HOA Assist can place a stop payment on any delinquent homeowner upon request by the Board. These requests can be sent to info@hoa-assist.com

Q. Does HOA Assist offer printing services?

HOA Assist can facilitate most printing requests at an additional charge upon request by the Board. (Annual meeting notices, budget mailings, newsletters, etc.) A Board sends HOA Assist the documents they would like printed, and a proof is created and sent back to the client to review. Once the proof is approved, it can be scheduled to be mailed out.

Unless directed by the Board for a specific printing project, no additional printing charges are billed back to the Association by HOA Assist except the costs related to paying vendors, welcome letters, and statements sent to homeowners. Any specific printing requests can be sent to info@hoa-assist.com

Q. Does HOA Assist take homeowner calls?

HOA Assist can provide a homeowner with their ledger upon request, however, the Associations portal powered by AppFolio is the primary communication tool for homeowners and Board members.

Q. Does HOA Assist oversee an Associations audit, reviews, and or taxes each year?

HOA Assist can provide the Board/CPA of their choosing with financials to conduct an audit, review, or taxes upon request. These requests can be sent to info@hoa-assist.com

Q. Does HOA Assist provide any guidance or assistance on insurance recommendations?

HOA Assist can provide Boards with contact information of trusted Insurance agents upon request. These requests can be sent to info@hoa-assist.com

Q. Does HOA Assist provide any guidance or assistance on reserve investment recommendations?

HOA Assist can provide Boards with contact information of trusted banking representatives upon request. These requests can be sent to info@hoa-assist.com
